ESG DATA & KPI FRAMEWORKS

ESG Data & KPI Frameworks for Hotels and Hotel Groups

One set of ESG KPIs across all your properties — defined once, owned by named people, and comparable across hotels, years and operators.

ESG KPIs for hotels only work if every property measures them the same way

An ESG KPI framework defines which indicators a hotel or hotel group measures, how each is calculated, which properties and meters it covers, how often it is collected and who owns it. It turns scattered data into ESG KPIs for hotels that compare across properties, years and operators.

In hospitality, the same figure is often counted three ways: energy per room, per occupied room or per guest night; with or without the spa, the laundry or the leased restaurant. Owners comparing hotels run by different operators, and groups consolidating many properties, need one definition behind every number. HOLITRA builds that framework as part of ESG, Reporting & Assurance and the Reporting pillar of the HOLITRA Hospitality Sustainability System.

WHO THIS IS FOR

Who we support with ESG data and KPIs

WHAT WE SOLVE

What HOLITRA does in ESG data & KPI frameworks

We define the numbers before anyone collects them: what is measured, how, where and by whom.

01

KPI selection

The indicators that matter for your material topics and for who is asking: energy, water, emissions, waste, people and procurement.

02

Definitions & intensity bases

Unit, calculation method and intensity base for each KPI: per occupied room, per guest night or per m², written down once.

03

Boundaries & coverage

Which properties, meters, outlets and outsourced services each KPI covers, including leased areas and franchised operations.

04

Data sources & owners

Meters, invoices, the PMS, HR and supplier data mapped to a named owner at every property.

05

Data quality & controls

Plausibility checks, flagged estimates and documented corrections, so figures stand up to review and later assurance readiness.

06

Portfolio comparability

Figures that consolidate at group level and compare by property type, so city, resort and congress hotels are not mixed into one average.

WHAT YOU RECEIVE

What you receive from an ESG data & KPI engagement

The package depends on how many properties you have and how the data will be used. We agree the deliverables in writing before work starts.

01

KPI catalogue

The KPIs you measure, why each is there, and the framework disclosure it serves: GRI, ESRS or the EU Voluntary Standard.

02

KPI definition sheets

For each KPI: unit, formula, intensity base, boundary and collection frequency.

03

Data map per property

For every figure: source, owner, frequency and check, per property and at group level.

04

Collection templates & calendar

Templates for your existing tools and a yearly calendar of who delivers what, and when.

05

Data quality rules

Plausibility checks, rules for estimates and a correction log, so every change is traceable.

06

Baseline & next steps

A first data set per property, the gaps still open and what comes next: ESG reporting or a carbon footprint.

KPI SCOPE

Which KPI scope fits your hotel?

Not every hotel needs a full portfolio framework. We help you choose the scope that fits who uses the data.

Core operational KPIs

For a single hotel starting out: energy, water, waste and emissions, measured the same way every month.

Reporting-ready KPI set

For hotels and groups preparing a report: KPIs mapped to the EU Voluntary Standard, GRI or ESRS disclosures.

Portfolio KPI framework

For groups and owners: one framework across properties and operators, consolidated at group level.

Lender & investor data set

For owners and operators answering banks and investors: the indicators their questionnaires ask for, from one source.

HOW WE WORK

How we set up an ESG KPI framework for a hotel or hotel group

The effort depends on the number of properties and on how much data is already collected systematically.

01

Purpose & users

Who uses the data — management, the report, owners, lenders — and which properties are in scope.

02

Existing data review

What is measured today, where it sits, how reliable it is and what is missing.

03

KPI selection & definitions

The KPI set, with units, formulas, intensity bases and boundaries agreed with you.

04

Data map & owners

A source and a named owner for every figure, at each property and at group level.

05

First collection & baseline

The first collection cycle, plausibility checks and a baseline per property.

06

Review & improvement

What to fix before the next cycle, continued as ongoing sustainability management if you want support year on year.

FAQs

ESG Data & KPIs for Hotels

Usually energy, water, greenhouse gas emissions, waste and food waste, social indicators such as employment, training and staff turnover, and procurement data where suppliers matter. The right set depends on your material topics and on who uses the data.

It depends on the comparison: per occupied room or per guest night for operational efficiency, per m² for buildings. Many groups use more than one. What matters is using the same base in every property and every year.

With one KPI framework set by the owner: the same definitions, units, boundaries and intensity bases, and a named data owner at each operator. Figures can then be compared by property type instead of as one portfolio average.

Estimates are acceptable if they are flagged and their method is documented. The framework records where data is estimated and sets out how to replace estimates with measured data over time.

No. Many hotels start with their existing meters, invoices and spreadsheets. The KPI framework comes first; any software chosen later should follow it, not define it.

The KPIs are the data behind the report. A defined KPI framework makes the first report faster and every following report comparable. ESG reporting for hotels.
