ESG reporting for hotels and hotel groups
ESG & SUSTAINABILITY REPORTING

ESG Reporting for Hotels and Hotel Groups

From a first structured report to group-level reporting across multiple properties — aligned with GRI, ESRS or the EU Voluntary Standard, and built on data and evidence that hold up.

ESG reporting for hotels starts long before the report

ESG reporting for hotels is the structured measurement, documentation and disclosure of a hotel’s or hotel group’s environmental, social and governance performance: from the reporting boundary and KPIs to data collection and the report itself.

In hospitality, the writing is rarely the hard part. Properties run on different systems; owners, operators and brands each hold part of the data; leases and management contracts decide what is in scope; and lenders, investors, corporate clients and certification bodies each ask in their own format. HOLITRA builds the reporting system behind the report, as part of ESG, Reporting & Assurance and the Reporting pillar of the HOLITRA Hospitality Sustainability System.

WHO THIS IS FOR

Who we support with ESG reporting

WHAT WE SOLVE

What HOLITRA does in ESG & sustainability reporting

We build the reporting system, not only the document: every decision behind a figure made once, and written down.

01

Reporting boundary

Which properties, entities, leases and management contracts the report covers, and why — documented, so the boundary holds after an acquisition or an operator change.

02

Reporting route

The framework that fits who is asking: structured voluntary reporting, the EU Voluntary Standard (VSME), GRI or ESRS.

03

KPIs & intensity bases

The indicators you report, how each is calculated, and the intensity base: per occupied room, per guest night or per m². ESG Data & KPI Frameworks →

04

Data collection across properties

A process that works with meters, invoices, the PMS and supplier data, and with seasonal teams and outsourced services.

05

Evidence behind every figure

Sources, calculation logic and sign-offs documented, so each figure can be traced — the basis for assurance readiness.

06

Management-ready output

A report or reporting package management can steer with, and that answers owners, lenders and certification bodies from the same data.

WHAT YOU RECEIVE

What you receive from an ESG reporting engagement

The package depends on your starting point and who is asking. We agree the deliverables in writing before work starts.

Discuss your reporting scope →

01

Scope & boundary note

Who is asking for what and by when; which properties and entities are in scope; the applicable framework and why.

02

KPI set & definitions

The indicators to report, each with unit, calculation method, intensity base and boundary.

03

Data map & responsibilities

For every figure: source, owner, collection frequency and check — per property and at group level.

04

Reporting process & calendar

Who delivers what and when, and how figures are reviewed and consolidated each reporting year.

05

The report or reporting package

A sustainability report or ESG data package aligned with GRI, ESRS or the EU Voluntary Standard, with a GRI content index or module mapping where applicable.

06

Next-cycle priorities

Data gaps closed and still open, and what comes next: carbon footprint, assurance readiness or a green claims review.

REPORTING ROUTES

Which reporting route fits your hotel?

Not every hotel needs the same framework. We help you choose the route that fits who is asking.

Structured voluntary ESG reporting

For hotels responding to lenders, corporate clients or certification requirements with a consistent ESG data set.

EU Voluntary Standard (VSME)

For hotels and groups outside mandatory CSRD scope seeking a structured EU-recognised reporting approach.

GRI-aligned reporting

For hotels and groups seeking internationally comparable sustainability reporting for a broader stakeholder audience.

CSRD / ESRS

For hotel groups within mandatory CSRD scope requiring reporting aligned with the applicable ESRS.

HOW WE WORK

How we set up ESG reporting for a hotel or hotel group

A first report usually takes several months, depending on how much structured data already exists.

01

Scope & reporting boundary

Who is asking for what, which route applies, which properties and entities are in scope, by when.

02

Existing data & gap assessment

What data exists, where it sits, how reliable it is, and what is missing for the chosen route.

03

KPI & reporting structure

Indicators, definitions and intensity bases, the report structure, and material topics where the framework requires them.

04

Data collection & evidence

Collection across properties and departments, with an owner, a source and a documented calculation for every figure.

05

Report & outputs

The report or reporting package, drafted and reviewed with you, plus a GRI content index or module mapping where applicable.

06

Review & next reporting cycle

What to close before next year and what comes next, continued as ongoing sustainability management if you want support year on year.

FAQs

ESG Reporting for Hotels

Not under the CSRD unless your company has more than 1,000 employees and more than €450 million net turnover; both thresholds must be met, as in force since Omnibus I took effect in March 2026. Most hotels and many hotel groups are below them. The requests come instead from banks, investors, corporate clients, franchisors and certification bodies, and one structured report answers them from the same data.

It depends on who is asking. Hotels and groups outside CSRD scope can use the EU Voluntary Standard (VSME), the EU’s proportionate standard for undertakings with up to 1,000 employees. GRI suits groups that want internationally comparable reporting. ESRS applies within CSRD scope. The data can be structured so that it serves more than one.

The VSME was the voluntary standard for SMEs, issued as a Commission recommendation in 2025. In July 2026 the Commission adopted it, revised, as a delegated regulation: the EU Voluntary Standard, in force since 24 September 2026 and still voluntary. From financial years starting on or after 1 January 2027, companies reporting under the CSRD may not request more information from value-chain partners with up to 1,000 employees, for their own sustainability reporting, than the standard covers.

The Commission adopted simplified ESRS in July 2026. They apply to financial years starting on or after 1 January 2027; companies already reporting may apply them for 2026. They reduce and simplify disclosure requirements; double materiality remains the basis.

With one KPI framework for the whole portfolio: the same definitions, units, intensity bases and boundary in every property, and a named data owner at each hotel. Figures then compare across properties and consolidate at group level, and the differences between city, resort and congress hotels stay visible instead of disappearing into totals.

Only if your hotel is inside the group’s reporting boundary. Hotels run through a separate company, a lease or a management contract can fall outside it. Check the scope notes of the group report; if your hotel is not named, it needs its own property-level data. More on hotel reporting boundaries.

Usually several months. The longest step is often data collection across properties and departments, not the writing. Organisations that start from an existing assessment move faster.

No. HOLITRA prepares reporting, data and evidence so that they are ready for review; assurance itself is provided by an independent assurance provider. See Assurance Readiness.
